10 Reasons Why You Need a Third-Party Backup Solution
Although there are possibilities within Office 365 to retrieve your data, these are not sufficient enough to secure your data in every situation. We have summarized the main reasons why you should use a third party backup tool to optimally protect data within Office 365.
1
Secure your data independently of the vendor.
- Maintain access to your data in case of issues at Microsoft
- Recover your data in case of corruption of a mailbox or a site
- This is a requirement for many organizations based on laws and regulations
2
Standard retention time is limited.
- 30 Days for email
- 90 Days for SharePoint
3
If longer retention is desired, it is possible to choose for an E3 or E5 subscription instead of Business Premium. However, the cost of one Business Premium subscription and a 3rd-party backup tool together are significantly lower than the cost of one E3 or E5 subscription.
4
Office 365 does not offer a bulk point-in-time restore option by default and therefore does not offer the option to recover from ransomware.
- For email, only a date selection can be made based on the date the email is created on
- For SharePoint, you can only restore per file.
5
Low and guaranteed Recovery Time Objective. Office 365 often uses tools that are not primarily developed for backup and restore purposes. As a result, it can be cumbersome and time-consuming to use the tools. This does not benefit the RTO.
6
A third party backup tool offers the possibility to generate reports of the backup process. This way, it can be checked whether the backup is functioning properly. Office 365 does not offer these options.
7
Office 365 uses tools that are not primarily developed for backup & restore purposes. This can cause uncertainty about what has and has not been provided and it is difficult to give customers the guarantees they expect.
8
Prevent ransomware, CEO fraud and Account Compromise. Cybercriminals will try to trick users into submitting the login details of their Office 365 environment by social engineering. After that, they will mail these accounts and others to steal data or to transfer money. This is happening more and more.
Office 365 is not entirely safe. Many people believe the environment is fully secured by Microsoft itself. This is not true.
9
Third party backup tools are generally much easier to use than those available within Office 365.
10
Microsoft itself recommends the usage of third party backup tools. In the
Microsoft Services Agreement, this is written:
“In the event of an outage, you may not be able to retrieve Your Content or Data that you’ve stored. We recommend that you regularly backup Your Content and Data that you store on the Services or store using Third-Party Apps and Services.”
